Recruiting Operations Specialist (Contract)

Labelbox is the infrastructure backbone for AI development at enterprise scale and leading research institutions. Since 2018, the company has pioneered data-centric approaches to AI training, combining an enterprise annotation platform, specialized labeling services through its Alignerr division, and an expert marketplace that connects AI teams with skilled annotators. As AI capabilities advance rapidly, Labelbox's role in delivering high-quality training data at scale becomes increasingly critical to breakthrough model development.

The recruiting operations function at Labelbox is expanding, and this role sits at the center of that growth. You'll partner with the Talent Acquisition team to keep hiring organized, efficient, and moving forward while ensuring candidates and interviewers have a smooth, positive experience throughout the process.

What you'll do

• Manage interview scheduling and coordination, handling calendar logistics, availability matching, and last-minute adjustments across candidates and interview teams.

• Maintain recruiting workflows and data integrity in Greenhouse and Gem, conducting regular audits and implementing improvements to keep information clean and reliable.

• Build recurring and ad hoc reports and dashboards that track pipeline health, hiring velocity, candidate progression, and team experience metrics.

• Communicate proactively with candidates throughout the interview process, ensuring clear touchpoints and a thoughtful experience at every stage.

• Collaborate with the Talent Acquisition lead, recruiters, and hiring managers to identify bottlenecks and process gaps.

• Design and execute projects that strengthen recruiting operations, from workflow improvements to new reporting frameworks, with full ownership of execution.

• Leverage Gem Analytics and other data tools to translate recruiting activity into clear, actionable insights for leadership and hiring teams.

What you'll bring

• Two or more years of experience in recruiting operations, recruiting coordination, or people operations.

• Strong organizational skills and the ability to manage competing priorities in a fast-paced, high-intensity environment.

• Proactive, driven approach with the ability to anticipate needs, take initiative, and execute with minimal direction.

• Deep hands-on expertise with Greenhouse and Gem, including data management, reporting, and analytics.

• Excellent communication skills and genuine attention to detail in all candidate interactions.

• Demonstrated curiosity about recruiting analytics and the ability to translate data into strategic recommendations.

• Ability to work from Labelbox's San Francisco headquarters three to four days per week.
